New APEEE enrolment platform - Guidance for users

Enrolment now open for APEEE services 2020-21

The services provided by APEEE are now open for enrolment and will take place on our new enrolment platform (MyAPEEE) at https://services.apeeeb3.be which combines all APEEE services on a single platform. Aside from extra-curricular activities (périscolaire), canteen and transport subscriptions, with the platform you can now purchase occasional canteen and transport tickets, manage the student cafeteria badge and purchase items from student-led projects. The platform also hosts all APEEE-related documents. Short video tutorials are provided to guide you if necessary.

At this point in time, we have proceeded on the basis that services will up fully up and running in all sectors and in fact have broadened the range on offer for our extra-curricular activities. As the situation continues to evolve, we will of course update you of any changes that may have to be made. For this reason, we will not request any payment for 2020-21 services before September. However, there is a new option ‘payment by direct debit’ which we would strongly encourage you to use. Please remember that this is a very busy time for APEEE staff so we would ask for your patience during the next few weeks.

Reminder

Before you enrol, please ensure:

That you have paid the APEEE fee of 45€ per family for 2020-21.
That you have settled any outstanding amounts for the first two trimesters of the current school year 2019/2020 for transport/canteen as well as the whole amount for extracurricular services (before any refund) – you will have received several reminders if this applies to you.
Payment can be made by bank transfer to the bank account of each sector. More information regarding bank accounts and payments can be found HERE

You will be unable to register your family for any services if overdue amounts remain unpaid.

Some practical tips and information

Although what follows is a bit lengthy, it tries to answer the type of frequently-asked questions that our staff typically receive. Happy reading!

Password:

You will need a password for this system – if you don’t have any credentials for MyAPEEE you can request a new password by entering your usual email/username to the ‘forgot password’ section HERE. If the system does not recognise any of your email addresses or you see any error messages that require technical assistance, then kindly contact webmaster@apeeeb3.be by describing your problem.

Select the right school year!

This may be obvious but to apply for any service for the next school year, you need to select the school year 2020-2021 from the available dropdown option.

Confirm agreement of sector regulations

You will be requested to confirm that you agree to the regulations of each sector before you are allowed to click the submit button. All information is available on MyAPEEE website.

You will receive a confirmation email each time you apply for a service. These emails do not require a response!

Administering your account on MyAPEEE:

· Each parent can view their children and edit their details or their own account details, while a family admin can edit all family children and members. If required an additional family member can be added – this is typically an adult linked to your family in a caregiving role. Kindly contact webmaster@apeeeb3.be if you need access to this functionality.

· You can add an additional family member by sending an invitation to their email address from your family section.

Relevant services:

Canteen/Cafeteria:

Parents of all secondary children for the school year 2020-2021 will be offered the possibility to apply for a cafeteria badge in July and will be able to recharge their child's badge as well as view any transaction history on MyAPEEE.

Extracurricular activities:

You are kindly requested to apply and finalise your request before 30 June when the 1st phase will end.
Make sure you have clicked on the year 2020-21 from the drop-down option on the far right corner to view the available list of Extracurricular activities.
You will need to confirm that the class of your child is correct before you apply. You will need to click and fill in the contact form or contact webmaster@apeeeb3.be in case your child's class is wrong.
You can search for specific activities by name or code or filter your research by selecting the dropdown options like day, class, teacher etc.
You will be able to see a personal list of activities for each of your children at their respective activities tab once the enrolment process has started.
Places for over-subscribed activities will be allocated by automatic random selection based on your selected activities.
In case of more than one overlapping activities (activities that take place at the same period, day and time), you will be requested to choose only one of the approved activities. If you don't select one of the approved activities within a week, then the system will do it from you by selecting randomly the 1st activity based on your preferences (priority)

Transport:

If you child has already used the service, the same option will be offered for the new school year with the exception that you need to state who pays for the service. Service for nursery children are paid by parents themselves, while the necessary information must be completed if the service is paid by your employer or institution.
iii) If you are new to the school or simply don't know which bus and bus stops you need to select, simply click on the help button and write your address there. Our staff will do the rest and you will receive an email once ready.
iv) You can request more than one bus / route per shift, but additional information may be requested from the office in order to approve the additional routes.
