ExtraCurricular Activities FAQ

The information in the frequently-asked questions found below is based on the Extracurricular Activities Regulations.

1. General Information

For any suggestion or complaint, you can directly contact the ECA Working Group using the ticketing system on the MyAPEEE platform .

The ECA Office is on the ground floor of the Athena building, to the right of the lift, in front of the Nursery rotunda.
The office is open to students from 10 am to 1 pm and 3 pm to 6 pm.

APEEE has exclusive competence for the Extracurricular Activities service.
The daily operation is ensured by the APEEE's Extracurricular Activities staff.
A dedicated ECA Working Group, made up of parent representatives (Board Members) is responsible for the oversight of the service.

2. Activities and Planning

Extracurricular activities aim to provide quality educational content in a structured but informal context.
Extracurricular activities enable students to discover, enhance, and develop skills, whether they are related to arts, sports, or music. They provide students with shared interests the opportunity to work closely in small groups, where they can give free rein to their enthusiasm and creativity. Certain activities, in particular for secondary students, may have a greater focus on improvement of skills.
The activities are organised in French, unless otherwise indicated (for example, "Anglais en jouant", "Théâtre en anglais", "Creative play" or "CLL English"). A course in another EU language is very exceptional and is only possible if the content of the activity is linked to the cultural traditions of a particular country (for example, Greek folk dances).

The ExtraCurricular Office differentiates between four main categories for its activities:

- Group Activities
These activities represent the majority of the ECA service's activities. Each activity is available for a limited number of spots and for a specific age range. These activities are generally artistic, sports-related, or cultural.
Most of these activities take place within school grounds, with the exception of Swimming activities and a few other sports activities (they are then typically taking place at ADEPS, VUB, or SportCity).
A group activity takes place throughout the school year, with the exception of some Friday noon activities for Nursery and P1/P2 students which are set for a semester instead.

- Individual Music Lessons
These lessons take place within the school grounds, and may take place between 15:30 and 18:00 on school days (between 13:30 and 18:00 on Wednesdays).
Lessons are managed through the use of pre-paid cards of 10 sessions of 30 minutes.

- Snack and Study in French
This activity allows students to remain within school grounds under adult supervision from 15:30 to 16:30 or 16:30 to 17:30.
The activity is available for year-long enrolment or for occasional use in the case of exceptional schedule changes.

- Holiday Stages
The ECA Office sometimes offers stages during the school holidays. Generally, these activities take place within the school grounds. A day-trip is sometimes organized during the week (for example: Walibi, Pairi Daiza).

Information regarding the activities and their content is available on the APEEE website two weeks before the start of the enrolment phase. Parents can enquire further about an activity before enrolling by contacting the ECA Office.

The draft annual plan of activities for every following school year, which includes all requests of new activities, is examined by the ECA Office and submitted to the ECA Working Group with recommendations for potential inclusion in the annual plan. This annual draft is based on an assessment of all existing activities against their previous results, popularity and their overall value.

The planning of activities is based on the estimation of:
a) the availability of space inside and outside the school
b) the demand for existing and new activities
c) their inclusive approach
d) the budgetary constraints (maintaining a budgetary balance is the ultimate financial objective)

The proposed annual program is reviewed and approved by the ECA Working Group before its submission to the Board for final adoption in May.

Requests for new activities may be bureau du Périscolaire submitted to the ECA Office by any interested party (parents, instructors, school teachers) before the end of March for the following school year.

Snack and Study in French is a childcare activity organized by the APEEE's Extracurricular Activities Office. Children are provided with a snack while waiting for a later activity or to head home by bus or by being picked up from school. After their snack, children can either play board games or study independently.

Two timeslots are available:
- 15:30 - 16:30 (second departure bus available)
- 16:30 - 17:30 (pick-u from the school by parents or another guardian only).

The snack is included in the price of the activity, and the Monthly Snack Menu is available for information, managed by the APEEE's Canteen service. A Table of the 14 Main Allergens is available each week.

No. The ExtraCurricular Activities is a service provided by the APEEE Ixelles, while the garderies/APPS are managed by the European Institutions (OIB, Office for Infrastructure and Logistics in Brussels).

3. Enrolment

Enrolment to an extracurricular acitvity is done separately for each student and only through the use of our MyAPEEE platform.
The yearly enrolment period is typically open in June of the previous school year. The exact dates are communicated to parents by email. New enrolments are accepted at any time during the school year, provided spots are available.

Yes, we allow a maximum of 3 activities requested in the same timeslot. Upon receiving confirmation of enrolment for these activities, only one may be accepted. The other activities in the same timeslot will be cancelled in order to allow other families to enroll.

In order to allow equal access to the services, allocation of places during the 1st enrolment phase in June is carried out on the basis of a random computerized ranking managed by the Office at the end of the initial two-week enrolment period, irrespective of the date and time when the enrolment application was submitted.
This random selection takes place after the first enrolment phase and is performed for each activity as follows:
During the enrolment period, parents may apply for multiple activities and indicate an order of priority for the selected activities. For each student, parents may indicate up to three activities as "high priority" , three as "medium priority", with the remaining activities considered as "normal priority".

Although every effort is made to ensure that students are allocated to their preferred activities, given the large number of students enrolled and the limited space, the APEEE is not in position to ensure a place for all students in the extracurricular activity of their first or second choice.
As of the 2nd enrolment phase, parents may enroll their students in activities where places are still available (on a first-come first-served basis).

Waiting lists are established for activities where the amount of enrolment requests exceeds the number of available spots for participants. A waiting list created following the first enrolment phase will be generated through random computerised ranking. Any additions to the end of an existing list or the generation of a list after this phase is based on a first-come, first-served basis.
Should a vacancy arise for a given activity, the available spot will be offered to the first student on its waiting list. Should this student refuse, the spot will be offered to the next student on the waiting list, and so on in order of the established waiting list until the vacancy is filled.

Upon confirmation of enrolment to an activity, a confirmation email is sent out to parents.
If a vacancy arises for a given activity, the parents of the first student on the waiting list will be informed of the possiblity to enrol their child.

As soon as a vacancy arises, the system automatically selects the next child on the waiting list and parents are notified.
It is not possible to provide a time estimate for any spot on a waiting list.

Parents can only cancel an activity during the first two weeks following the start of the activity or late enrolment. Cancel requests must be justified.
For each cancelled activity, administrative fees are charged by the ECA Office. After this period, refunds for an activity are only possible in specific exceptional circumstances (for example, long-term medical certificate, definitive departure from the school, etc) pro rata to the lessons provided.

Cancelling the enrolment to a stage is only possible until the last working day before the stage. Administrative fees will still be charged.

Yes, provided the transfer request is sent within the 14 days following the start of the activity or late enrolment. The request must be justified and emailed to the ECA Office.
The request will only be considered if it does not endanger the continuation of the given activity due to its number of participants falling below the minimum number required. Where appropriate, the Working Group will be consulted by the Office before communicating a decision.
If the transfer is agreed, the Office shall confirm this through the online registration system. Additional charges may be invoiced to reflect the price of the new activity, if higher than the original activity. If lower, no reimbursement will be made.
No administrative costs are incurred in the case of a transfer towards another activity where places are still available.

4. Payment

Before the start of the school year, the deadline for payment of ExtraCurricular Activities is the 31st of August. An allowance is made for second semester activities (Friday afternoons), for which the deadline is set to mid-January.

During the school year, and after confirmation (by email) of the enrolment of your child to an activity, parents have 10 working days to either accept the spot (by paying the activity fee) or retract their request by cancelling the enrolment in the system.
Activity fees can be made by bank transfer to the ExtraCurricular Activities' account, or by online payment through the MyAPEEE platform.

A reminder is sent to parents 3 days before the deadline, inviting them to either accept the enrolment and proceed to payment or to cancel the request in the system. No automatic cancellation is in place.
After the 10 day timeframe, your child will no longer be able to participate in the activity and the available spot will be offered to the next child on the waiting list. You will still be invoiced for the full price of the activity.

5. Daily Operation

The main task of our activity monitors is to respect the main educational objective of the ExtraCurricular Activities, which is to allow students to discover, value, and develop skills, whether they are related to arts, sports, or music. Activity monitors are expected to fulfil this by providing students with quality education content within an informal but structured context.

The ECA Office receives your calls every school day from 10 am to 12 pm.
Outside of these hours, we give priority to calls about the activities of the day.

Personal items found during an extracurricular activity are brought to the Eureka room.

6. Exceptional Changes

For any change to your child's schedule, you must inform the ECA Office by email at least 1 working day in advance, so that we may inform the activity monitor of the change in a timely fashion.
If your child will exceptionally be taking the bus or changing bus line, make sure to send your request to the Transport Office as well.
If your child is a Nursery or Primary student, make sure to add all the relevant information in their agenda for the day of the change.

The Snack and Study in French activity can be requested for a single day and invoiced as such. Two timeslots are available for this activity: 15:30-16:30 and 16:30-17:30 for Mondays, Tuesdays, Thursdays, and Fridays.
Your child can take the second bus departure after the Snack and Study activity ending for 16:30, as long as the request has also been sent to theTransport Office.

7. Student Supervision

Each cyclle has a designated meet-up point for their extracurricular activities, supervised by APEEE staff. Each activity is indicated by a sign with its name and correponding image. Activity monitors pick up their students at the appropriate sign before the start of the activity.

*Swimming: Secondary students heading to their swimming activity must head directly to their "SportCity" bus on the bus parking lot for 16:25.

On Wednesdays:
- Students enrolled to the Ixelles OIB garderie/APPS must eat with the OIB staff before heading to their activity
- Students enrolled to the Canteen but not to a garderie/APPS or bringing their own lunch ("tartinists") eat supervised by APEEE staff.

The selection of activity monitors is performed by the ECA Office in consultation with the members of the ECA Working Group.

Instructors are chosen on the following grounds:
• technical competence
• training and professional experience
• previous positive assessment
• specific experience in working with children
• availability
• needs of the APEEE

The ECA activity monitors are able to communicate in an active and passive way in French (and in their activity's language if different), and comply with all all requirements set out in the School's access policy as well as with the general regulations applying for all staff working in its premises.

The activity monitors or a member of the ECA staff escort the students to the bus parking lot at 15:20 or 16:20.

The activity monitors or a member of the ECA staff escort the students to the parent pick-up point, accessible through Loge 2 during school hours.
After 17:00 (14:00 on Wednesdays), parents can pick up their children from the parent area, at Loge 1. A badge, provided by the school, is necessary to access this area.

Please note that the current School Policy on parent access to the School only allows parents to wait at specific meet-up locations. Parents are not allowed to wander within school grounds.

A member of the ECA staff supervises the children at the parent pick-up point, alongside the security staff of the School.

A 15 minute wait time after the end of ECA activities is planned, during which children remain supervised by ECA staff.
After this time, children still waiting are sent to the Snack and Study in French activity, to be supervised by their staff. Parents are invoiced for the activity for the day. In the event of non-payment for more than 10 working days, or repeated delays, a warning will be issued upon the 3rd instance informing the parent that any additional similar event will result in the suspension of their child from their activities.
If the parent's delay exceeds the ECA Office's closing time, the Office reserves the right to escort the student to the nearest police station. The responsible parent will be duly informed according to the contact information provided in the student's file.

P5 and Secondary students may leave the school after their activity, provided their parents have given a written authorization (signed authorization in their agenda or "carte de sortie").

8. OIB Garderies/APPS

If your child's extracurricular activity ends in time for a bus departure (15:30 or 16:30), your child can take the bus to the garderie.

Students who go to the OIB garderie/APPS (Ixelles) after their activity are escorted by the ECA staff to the Nursery rotunda for 16:30 where they are picked up by the OIB staff.

9. Other

If your child is in Nursery or Primary, they cannot remain unsupervised on School grounds. We offer the option of Snack and Study in French "Once", which you can request by sending an email to the ECA Office or by requesting it directly on MyAPEEE.
Another possible alternative is to enroll your child to the Ixelles garderie/APPS.

The swimming activities for Nursery and Primary students take place at the VUB swimming pool. Students walk from the school with their monitor to the swimming pool.
Secondary students' swimming activities take place at SportCity. A bus leaves from the school at 16:25 to escort them to the swimming pool.
Please note that students do not come back to school after Swimming. You must therefore pick up your child from the swimming pool location.

Besides swimming (detailed in the previous question), two activities take place outside of the school grounds.
The "Sports ballons" activity for Nursery students takes place at ADEPS on Friday noons. A bus leaves the school at 12:30 to escort them there, and comes back to school for 15:15.
The "Multisport" Wednesday afternoon activity for Primary students takes place at the VUB. The children walk with their activity monitors and come back to school at the end of their activity.
The holiday stages sometimes organized by the ECA Office during school breaks may offer a day trip (for example Walibi or Pairi Daiza). Students leave the school in the morning by bus and typically return to school for 17:00-18:00.
